This policy explains how personal data is collected and used when you register for, or make a sponsorship inquiry about, the KSA Circular Economy Forum 2026 (the "Forum") via this website.
01 Who is responsible for your data

02 What data we collect
We only collect the information you actively provide through the forms on this site:
- Registration: your name, professional title, organization, email address, focus sector, and region.
- Sponsorship inquiries: your name, company, email address, phone number, and any message you send us.
- Consent: a record that you agreed to be contacted.
We do not collect special-category data, and we do not knowingly collect data from children.
03 Why we use it and our legal basis
- To administer your registration and send you essential information about the Forum — on the basis of your consent and our legitimate interest in organizing the event.
- To respond to sponsorship inquiries and have our partnerships team contact you — on the basis of your consent.
You can withdraw your consent at any time (see section 07). Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
04 How your data is stored and shared
Your data is stored in a private Google Workspace spreadsheet and is only accessible to the Forum's organizing team. We use the following processors to run the website and handle your data:
- Google (Google Workspace / Sheets) — secure storage of submissions.
- Vercel — website hosting and delivery.
- Smaily — email delivery for confirmations and event updates (when enabled).
- Our partnerships / sales team — for sponsorship follow-up only.
Some of these providers may process data outside the European Economic Area (e.g. in the United States). Where that happens, transfers are protected by appropriate safeguards such as the EU Standard Contractual Clauses. We never sell your personal data.
05 Cookies and analytics
This site uses only what is necessary to function. If we introduce analytics or advertising cookies (for example, to measure traffic), we will update this policy and, where required, ask for your consent beforehand.
06 How long we keep it
We keep your data for as long as needed to organize and follow up on the Forum, and for a reasonable period afterwards, unless you ask us to erase it sooner or withdraw your consent.
07 Your rights
Under the EU General Data Protection Regulation (GDPR) you have the right to access, correct, erase, restrict, or object to the processing of your personal data, to data portability, and to withdraw consent at any time.
To exercise any of these rights — including having your data deleted — email info@circular.forum.
You also have the right to lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon).
